Blog Post: The magic of reporting in Timeslips

Reporting in Timeslips is a valuable tool.  At times complex, but by exploiting the sorting capabilities and options for any given report, many times very valuable information can be easily obtained from a standard report. For instance, at year end, often times a firm will want to know what clients paid them the most for that year, or even who paid what in interest, dollars received against reimbursed expenses, and revenue received and attributed to fees. The Payment Register report can be manipulated to give  all of that information in one report.  Note that this report is a customized version of the A/R Transaction Listing report as is the Credit Register, Payment Distribution and Write Off Register reports.  Versatility in action! Try it for yourself like so: 1) Open the Payment Register report, which is located under Reports , A/R Transactions .  Note at the top it says Report Entry: A/R Transaction Listing .  Aha!   Now we know the base report this one was derived from.  2) On the Selection Filters , select the already applied A/R Transaction Type filter and note that 'Payment' is selected. Add the 'Reverse Payment' and 'Refund' types so that we can offset any bad checks or monies returned to the client. 3) Select the A/R Transaction Date filter with the start and end dates you want.  Maybe 1/1/2014 through 12/31/2014? 4) Optionally, if you want a subset of clients on the report, choose the appropriate custom filter or choose a Client Selection and either include or exclude the clients from that list.  If you want ALL data, do not add the filter. 5) Switch to the Sort and Subtotal tab now and click the symbol between the columns to remove all of the current sort options. 6) Currently the Sort Groups drop down shows Accounts Receivable .  Click on it and switch to Client .  Now add the Client Nickname1 , Nickname 2 or Full Name as desired. After doing so make certain you have the Subtotal column set to YES . 7) Under Options in the lower left hand corner, click the ' Only show subtotals and grand totals ' to subtotal the clients payments instead of showing each payment. 8) Change Report Style to ' Detailed Format ' and set Show Payment Distribution to ' YES '. Print the report to your display and you will see the clients listed alphabetically, with their total payments for the period along with how the payments were applied to Fees, Costs (expenses) and Interest (if applicable). As you could probably see, there were other options available such as showing Tax Information under the Show Payment Distribution selection if you need that data. Timeslips doesn't do everything, as you've probably been amazed to find out, but with the help of other tools we can take this same data and create more reports.  Print that same report to Microsoft Excel (instead of to Display or Printer), and you can sort or remove the columns to provide even further customization of the data presented. Hopefully this will provide you with some ideas on how to use the reports that exist, to give more information for your firm's use of Timeslips. Above all, play , experiment, check out those powerful Options!  You can't hurt anything in the reports.  Make them work for YOU.
