Hey Laurie: Long time no hear. Hope all is well with you. I agree with Allen below re: first issuing a credit. You need to get a negative balance in there before you can issue the refund. Set the credit to Apply to a Future Invoice. I differ with him on using an Invoice transaction thereafter. I would just use the Refund transaction type to show that I sent it to the client, and match it to the unapplied credit. Hope this helps. Just a word of caution to those who may find this thread later. This turned out to be a case where the database had been hit by a variant of the CryptoLocker virus. Client will have to go to their Monday night tape backup. This makes twice that I've seen it hit firms in the last 30days. Please folks, make sure you backup your Timeslips often, and move them off of the machine where the database is hosted. Hope this helps. Allen, If I don't keep Timeslips current in terms of A/R, and my boss asks me (a year from now) how much (net) we billed a client, or how much they paid, I'd like to know that the numbers in TS are accurate. Otherwise, I have to devise some method of keeping track of which clients in TS have correct and complete A/R data and which do not. How to you handle such information if you just refund the amount outside of Timeslips? -laurie

Thanks, Nancy. Your answer does make sense to me. The only thing that confuses me is that there doesn't seem to be a way to choose which "type" of credit it is (fees, costs or interest). Hmmm... I'm using Timeslips 2008 version. I need to prepare a History Bill for Court and have been working on the layout for History Bill for 3 hours now. I have formatted the bill to reflect the date, initials of user, description and hours only. I do not want the actual charges to show. I've got that part formatted. Now as far as expenses, I can't get the expenses formatted for a summary total, it's itemizing each expense, but will total at the end. Help! Have you seen this error "Another station is accessing your Timeslips database in a way that prevents you from accessing it?” Well if you have seen this don’t worry about it there is a way to resolve the issue that you are having. Cause: This error usually indicates the installation paths are not the same on all workstations. It is required that all workstations using Timeslips utilize the same file path to the Timeslip.CFG file for the program to work on multiple workstations simultaneously. Typically, an installation done on a computer with User Account Control settings at the default level will cause the installation to be set via a UNC naming convention instead of the more oft used drive-letter mapping convention. Resolution: Note: When in a peer-to-peer network environment the install path on the machine operating as the peer server must be the same as all other workstations. You can determine the installation path in Timeslips by selecting Help, About Timeslips . Refer to the value for Installation Folder . Compare this path on all workstations. If this path differs from workstation to workstation you must correct the mapping to reflect the same path on all computers using Timeslips. Note for version 2012 and above: To view each workstation's installation path, go to Help, About Sage Timeslips 201x... and click the View Station Access button. This will open a StationInfo.txt file with the computer name, logged-in timekeeper and configuration path. This can be used to determine which workstation is causing the error. If any computer other than the Timeslips server is pointing to the C: drive, there are likely multiple Timeslip.cfg files on your network. You should have only one of these files and it should be located on the server installation of Timeslips. In order to correct this situation, start by correcting the mapping on the workstation(s) that are not matching. If any workstation other then the server is pointing to the C: drive you must locate the Timeslip.cfg file in that path and rename the file. If the extra Timeslip.cfg file is not renamed, this error can re-occur. Mapping to the Timeslip.CFG file can be done via drive letter mapping (i.e., T:\Timeslips\ where T: is mapped as \\server_name\TSShare\), or UNC mapping (i.e., \\server_name\TSShare\Timeslips\) but must be consistent between all workstations. Open Station Administrator and select Options , Change Install Path . Locate the Timeslip.cfg on the server through the desired mapping method. Alternatively, edit the location in HKEY_CURRENT_USER\Software\Sage\Timeslips\vXX\General and the InstallPath data field. Note that the 'vXX' in the example is the Timeslips version number. Timeslips 2015 is v23, Timeslips 2014 is v22, and Timeslips 2013 is v21. Note: To open Station Administrator go to your Start Menu, Programs/All Programs, Timeslips, Station Administrator. This error may also occur due to lock files not being released on the server. You may encounter this error when opening Timeslips on a workstation that has been working without any issues and has not recently had a reinstall of Timeslips. Typical indications are that the Show Details options will indicate an error in General Settings and will not reveal an option to show Other Stations Accessing... Close Timeslips on all workstations and search all drives and delete all PARADOX.LCK , PDOXUSRS.LCK , and PDOXUSRS.NET files as well as the LOCKS.DB and LOGIN.DB files in the database being opened

I have a group of 4 CPAs and 8 employees wanting to use Timeslips for the entire office. I cannot find a way to report our collections by partner which is how we split the income. Does anyone know how to make this work?

What version of Timeslips? Under Timekeepers there is a collections report. Alternatively: You can setup custom fields for 3 levels of allocation and then assign the breakouts in the client custom fields. Then you can run a receipt allocation report. Note however that I believe it will only work on invoices created after the allocations are setup.

Each partner is using a different brand of software and they keep track of their own billings. I wish to consolidate partner billings under one program. Some timekeepers work for different partners, so billing by timekeeper won't work. I was hoping that I could assign a partner to each client and monitor collections that way.

I just tested this in TS 2006 and TS 2015. It appears that even though you can set the expense section to display summarized by name the history bill does not behave as expected having done so. Seems like an "undocumented feature" to me!

Randy B: Totally possible. Just assign a custom field for each Client that will tag that Client as belonging to that partner, then you can take any report and sort/subtotal by that field. So, you could print a Payment Register and sort and subtotal by Partner. Should work quite well.

Hi, I was hoping someone can help me with a Timeslips installation issue. A customer had TS V9 running on a Windows 2000 PC which the hard drive failed today. They back up the DB every night. I am trying to install TS 9 on a new windows 7 PC. The software will install but when I go to restore the DB from backup I get this error.... "The DB you are trying to access was created by a different installation from the same master configuration disk. You must use the DB moved command in the station administration to transfer the installation information to this database." Since the original pc is dead I don't see how I can do this. The billing person is 2 years from retirement and technically challenged. Switching to a new version is a last resort. Quite frankly it may kill her as she is very high strung. Any help will be greatly appreciated.

Whew, that is some OLD stuff bro......let's see if we can revive it. What sort of machine are trying to load it on? Your new install should have a Station Administrator in the program group. Exit the main program and launch Station Administrator. You may have to point it to the database location when you open it. Under the Options menu, you should find the Database Moved command. Without remoting into the desktop to look at it, I cannot say more. Hope this helps.
