Forum Post: Previous Balance not accurately reflected on next month's billing

An error in billing for one client has been discovered that dates back a few months. Main Issue: A payment received in July, 2014 for $1675.50 was applied, and shows on the July invoice. This left the Balance due of $347.60 for July's invoice.  On the August 2014 invoice, the "previous balance" shows $1675.50 rather than the $347.60. Of course this snowballs into September's invoice, leaving that invoice $1675.50 more than truly owed.  Additional information: When I enter TS to enter a payment on that account, it shows the TRUE amount due (without the $1675.50) but I cannot get the latest invoice to reflect the true amount. This is not a new client, they've been "on the books" for a couple of years. I'm in TS v2013 My question: 1. What AM I doing wrong with this one client? 2. Is there a way to "undo" September, and August invoices to get it straight? Any insight would be most helpful. Jennifer

You can only undo the last invoice for the client. Run a statement for the client and set it to show everything. See if there's anything unusual. If it seems to be okay you can try to rebuild the balance for the one client. MAKE A BACKUP BEFORE YOU START. Then go to data verification uncheck everything and check rebuild AR and choose only the one client with the issue. After you finish check the client. If it is correct great, if it is wrong restore the backup and call tech support or a certified consultant.

I have printed my bills for the month.  I checked off and approved the bills that were being mailed out and "cleared"  the bills on hold.  Now I would like to go back in and take all bills out of hold.

That's not making sense to me. If the bill printed, it was not being held. Are the slips being held?  Or the entire bill? Have you run a Charges on Hold report? Sorry, but I'm not following your question. I have not found any custom fields in my 2013 Timeslips.  I have been reading the 2015 User's Guide and see that custom fields in the Client Information that can be used to assign a client to a responsible CPA.  And I found a report called Timekeeper Collections in the 2015 guide.  Is this what you are referring to?  I have not found a receipt allocation report yet.  Looks like I need to upgrade to 2015.

Thank you for the information. I did run a statement and verified all of the information. After looking into it further, it appears I never "approved" the invoice for July.  If I run and approve an invoice for July, will it adjust the interest accordingly?

You get to create your own.   Setup menu, then Custom Fields. If you use Custom Fields, then you don't need the Collections Report. The Collections Report tells you who created the slip that generated the income, that's not what you say you need. If you would like some help with this, I think we can set you up with the Custom Field and create the report you need in about a half an hour via remote desktop connection. I don't think approving is going to help you AT ALL. Since you have done quite a bit to try to fix it yourself, it is very difficult for us to get an idea of where the account stands now, and what advice we might suggest. I think at this point, you would be better served by hiring someone to remote in and take a look at it with you. Hello,  We have been using TimeSlips 10 for years. Historically, we've printed separate invoices for each client matter and then have created a summary sheet in Excel, showing the total amount of new charges, previous balance, payments, and balance due for all of the client's matters. Obviously, this is time consuming and allows for user error when manually entering the data.  I've been trying to figure out how to get TimeSlips to do this work for us. Is there a way to print a summary invoice or cover sheet for multiple matters?  I think part of the issue is the way we enter our client/matters into TS. We enter each matter in as a new "name" or "client" (with the first matter as the "master client"). It seems to me that entering the matters as a "reference" may have been preferable. Any thoughts?

Hello, I am experimenting with creating a bill that sorts/subtotals by "reference." When I set to sort/subtotal by "reference," the subtotal line prints as: SUBTOTAL:                           [0.40        400.00]                    Is there a way to remove the brackets around the number of hours and price? Is there a way to edit the word "subtotal" so that it is not in all caps and also so that it says "Subtotal for this matter:"?  Thank you!

Hello, I am trying to generate a report after we finish our billing each month. I need the report to show the $ amount to be allocated to each timekeeper per Client.Project for all Client.Projects that have a balance due. That is, I need a report that shows how much each attorney/timekeeper is due for each Client.Project we have billed for.  I only seem to be able to generate a Timekeeper Collection report for payments received, not payments due.  Any thoughts? Thank you!

I am trying to see what we billed for each timekeeper for a period.  We do a lot of interim billing.  I can get slip reports but can't seem to find the billing amounts. The Profitability report shows "billed fees" that do not agree with the Invoice listing total for the period. Very frustrating!

Hello, I left another message earlier this morning and was anxious and frustrated about not being able to open Timeslips. I am running Windows 8.1 on a laptop and after installing mandatory updates, I cannot get into Timeslips. When I double-click the Timeslips icon, the program appears like it is going to load (the hourglass spins) then it stops. I do not even get an error message. Anyone know how to fix or what is causing this??? Thanks in advance.

I have one user who's Timslips 2014 will not open. It seems to start the Timslips task in Task Manager, but I get no Timeslps dialogue box. Not ever an error. I've tried reinstalling it, but it crashes before install is finished. Not sure how to proceed.

I am a tech and one of my clients is a law firm. I have been working on this problem for awhile and unable to resolve it. I have worked with Sage during the install and they have not been able to help   Details They have a windows 2008 SBS. The server runs exchange and is the domain controller. It has the quickbooks database on it. QuickBooks works good. The workstations are windows 7 pro will 4GB ram and the main user has 8gb with an I5    We where called to this client to upgrade the network to all windows 7 computers. The had timeslips database on a local pc while they have a server. When we first found that out we asked why. If you have a server why would you want it local when there is 3 users who use it. We where told that when they first install timeslips they had it on the server but it would lock up all the time. No stop throughout the day. She then said after they moved it to the local pc it worked much better. Still slow but better. We told her there must have been a problem and it was not installed or configured correct.  It should run fine on the server. The client was very worried that it would be moved to the server and the same thing as before would happen. We told her we will make sure it is good and does not.  So we proceded to move it to the server while we upgraded everything to windows 7. at that time they where using 2011 I think. We moved it to the server then upgraded to 2014. Then it did the same thing as before. We conntected sage and tried many things to get it fixed they where no help. I did hours of research and tried many things but no matter what I was not able to get it running back to how it was before this all started on here local machine. I have gone over everyhitng on the network. My speeds both way are good. The server has 32 gb ram. QuickBooks runs with no problems at all. So It is not the network. So the client said lets see what happens in time. We then did all updates, upgraded to 2015 and connected sage again. Still no matter what we do it does not run without locking up repeatedly thought the day. We decided last week to move it back to her local PC. I did not want to do that after we told her that we will get it on the server and it will be fine. But I ran out of options. Well it runs good on her pc, until another user logs on. As soon as that user logs on it locks up all the time. Now it is even worse than it was on the server on her local machine. I am very frustrated and am not happy that I am not able to fix this for my client. Any suggestions would be great and I will let you know if I have tried it already or I will try anything at this point. Please any help will be great  Thanks all!!!

Dear Nancy, Your response to my question regarding consolidated billing was very helpful! This will save our billing assistant A LOT of time! One more question: when using Client.Project formation to create a consolidated summary bill, how can I get my projects to print in order? We name our matters as Client.MatterName for Nickname 1 and Client#.Matter# as Nickname 2. For example, First matter: Nickname 1: Test.Matter1 Nickname 2: 9990-9991 Second matter: Nickname 1: Test.Matter2 Nickname 2: 9990-9992 However, when I set these up to print with a consolidated bill summary, they print in the following order: Summary Sheet Matter2 Matter1 Project Billing Summary Of course, we want our matters to print in matter # order. JudyPM, You didn't mention which version of Timeslips you are using.  In later versions of Timeslips, you can mark the client for full bill hold right on the client list.  Look for the red H on the client list toolbar.

The definition of a collections report is money collected. If you haven't been paid you haven't collected. Many firms don't pay until collected in case clients complain and amounts are written off. I would probably look at a slip totals by period or a slip summary report. You should be able to filter for billed on invoice date and get the information you are looking for.

Interim billing would make that a bit tricky. Given that you are doing interim billing, how would you calculate the billed fees irrrespective of Timeslips?
